Library Management
Budget Administration
The librarian manages the library budget within the district's fiscal calendar: submitting requests on time, tracking expenditures against allocations, and adjusting when circumstances change during the fiscal year. Purchases follow district procurement rules, including bid requirements above set thresholds and purchase orders that document approval. Vendor selection weighs quality, service, and cost.
Inventory verifies holdings, identifies losses, and informs replacement planning; depreciation schedules guide equipment replacement, and district surplus and disposal procedures govern what happens to withdrawn materials and equipment.
Staffing and Personnel
Staffing models depend on school size, grade levels, and budget. The certified school librarian provides instruction, collaboration, collection development, and program leadership. Paraprofessionals (library clerks or aides) support circulation, processing, shelving, and clerical work. Student assistants and volunteers supplement paid staff but do not replace them.
Facilities, Technology, and Safety
Library design should support individual study, collaborative work, instruction, and recreational reading at the same time. Flexible, reconfigurable spaces and durable, comfortable furniture maximize use. Traffic flow separates active zones from quiet ones, and service points are placed for visibility. Technology infrastructure needs adequate power, reliable wireless coverage without dead zones, and charging stations.
Hardware, software, and network management are carried out with district technology staff: licensing compliance, updates, user accounts, troubleshooting, and escalation of complex problems. Emergency preparedness covers fire, severe weather, lockdown, and medical emergencies; evacuation routes are posted and practiced, and exits are never obstructed. Security systems protect materials and equipment while respecting patron privacy.
Policies and Procedures
A policy is a board- or administration-approved statement of what the library does and why; a procedure gives the step-by-step way staff carry it out. Policies are developed with teachers, staff, and administrators, reviewed on a regular cycle, and approved by the appropriate authority, often the school board for selection and reconsideration policies. A policy manual compiles them, and signage and orientation sessions communicate them to students and staff.
| Policy | What it covers |

| Confidentiality and privacy | Protection of patron records and procedures for lawful requests |
